twinformatics GmbH is the IT system house of the Vienna Insurance Group (VIG) in Austria. It develops and operates software solutions for the Austrian companies of VIG with more than 500 employees in two locations in Vienna and Villach.

Starting situation

The used employee badges were necessary for the access systems, the use of different printers and the payment in the canteens at the locations in Vienna.
The project task was to issue the cards, which were working on the basis of MIFARE Classic and used for approximately 10’000 employees in Austria, now with MIFARE DESFire and with photos. Furthermore, the layout for each company should be individual, so that the belongig is visible immediately. For this, the insurance companies and subsidiaries had to design and realize 27 individual layouts plus 5 special layouts for fire department etc.

Approach

Beside a very comprehensive information campaign in literal and visual ways, MADA was instructed to provide the SaaS-solution ID.service to receive the necessary photos of all employees.

Project progression

Due to the change of technology and the use of ID.service, a card creation system with several workstations in the company had to be set-up and acquired. To enable the insurance companies and subsidiaries to imprint the employee badges by themselves after project completion, we installed a Retransfer card printer XID8300 including a DESFire encoding. A direct connection to the access control and the integration of the MIFARE DESFire encoding technique was realized in the internal access management system.

twinformatics imported all personal data and master data into the web surface of ID.service for the 10’000 employee cards to be personalized. Recording and allocation of photos was effected via the function “decentralized image recording”. All employees had the possiblity to upload own photos according to pre-defined specifications. For this, they received an individual e-mail including the corresponding information and links. Thanks to the comprehensive, early information, 60 per cent of all employees were recorded successfully at the first attempt, after a reminder the number increased to 99,5 per cent. After a central verification and control of the data imported, the data records were approved via mouse click. Thus, MADA was allowed to start the card production and after its completion an acknowledgement with all production data was forwarded to the customer as an overview. The dispatch of the new cards was realized by MADA as well. Each card was directly addressed to the employee with a letter, a standard card cover, a yo-yo and a lanyard.

Project result & project success

Thanks to ID.service, MADA was able to produce all new employee cards easily and conveniently. twinformatics as an IT service provider has been particularly impressed by the innovative solution as a very user-friendly web service.
Another important aspect was the data protection. In the course of the project and during operation, the personal data security is always ensured by the system.
